How it's calculated

Methodology and assumptions

  • Document handling: suppliers × documents/month × 12 × (minutes per document ÷ 60) × cost per hour.
  • Supplier support: hours per month × 12 × cost per hour.
  • Issues: issues/month × 12 × cost to resolve one issue.
  • Total annual cost: document handling + support + issues.
  • Estimated savings: 40%–70% of the total, depending on standardization, the number of suppliers and the solution chosen (vendor portal, supplier onboarding, automation or ERP integration).

The savings range is directional and case-specific. For a serious estimate we review your process with a supplier portal solution or a digital transformation assessment.

FAQ

Frequently asked questions

What does this calculator measure?

It measures the annual cost of managing suppliers and vendors manually, that is, without a supplier portal or vendor management system: onboarding, documents, compliance, support and issues. It also estimates the savings from digitizing. It does not calculate the price of implementing the portal; that depends on scope.

What is the difference between a supplier portal and a supplier management system?

A supplier portal (or vendor portal) is the digital access point your suppliers use to update data, upload documents, check purchase orders and payments. A supplier management system also covers internal processes: onboarding, qualification, evaluation, document control and compliance. This calculator estimates the cost of doing all of it manually.

How is the cost of manual supplier management calculated?

We add three annual costs: document handling (suppliers × documents per month × time per document × cost per hour), supplier support (hours per month × cost per hour) and issues (expired documents, wrong data or disputed invoices × cost to resolve them).

Which companies benefit from a supplier or vendor portal?

Companies with many suppliers or complex procurement: industrial, distribution, mining, contractors and organizations that require vendor onboarding, qualification and document compliance. Also when procurement teams answer repetitive questions by email or phone.

Can I integrate the portal with my ERP?

Yes. The portal can connect to your ERP to sync suppliers, purchase orders, invoices and payments, without replacing the system you already use.

How much does it cost to implement a supplier portal?

It depends on scope: number of suppliers, features (onboarding, qualification, documents, orders, invoices) and ERP integrations. We analyze your process first and then provide a proposal. You can estimate the savings with this calculator before investing.
